Data We Collect

We collect the following personal information:

• Account information: your name, email address, and phone number.
• Report set-up details: the client's name and the property address, which you enter into dedicated fields when creating a report. This information is used to produce your report and is not sent to our AI provider.
• Inspection content: the notes (typed or dictated) and the photographs you capture during an inspection, covering the property's characteristics, defects, and recommended actions. Your notes are processed as written. Occasionally they may contain personal details of property owners or third parties; we ask you not to include such details, and to use the dedicated fields above for any client information.

We currently do not use cookies or similar tracking technologies but reserve the right to do so in the future.

How We Use Your Data

Your data is used to:

• Provide our core service: drafting editable survey reports from your notes and photos, including transcribing audio and extracting text from documents using third-party tools.
• Personalise your account to your writing style using the reports and content you provide. Your content, writing style, and knowledge base are kept private to your account and are not shared with, or used to personalise, any other user's account.
• Maintain, support, and improve the reliability and quality of our service. We do not sell your personal data.

Data Sharing and Third Parties

We use third-party service providers to deliver our service, including for email hosting, text generation, audio transcription, document processing, and automation.

To draft your report, your inspection notes and photographs are sent to a third-party AI provider. The client's name and the property address are not sent to the AI provider. The provider does not use the data we send to train its models, and retains it for up to 30 days for abuse monitoring before deleting it, unless it is legally required to retain it for longer.

We prioritise EU-based servers where possible, but your data may occasionally be processed or stored outside the EU, including in the US. Where data is transferred internationally, we ensure adequate safeguards, such as Standard Contractual Clauses, are in place.

Data Security

Your data is stored primarily on EU-based servers. Currently, we do not employ encryption or anonymisation techniques.

International Transfers

Data may occasionally be transferred and processed outside the EU, including to servers based in the US. We ensure compliance through appropriate safeguards, such as Standard Contractual Clauses.

Data Retention

We retain your account information and the reports and content you create for as long as your account is active, so that you can access your reports, and for as long as we are required to keep them to meet our legal obligations. Data sent to our AI provider to draft your report is deleted by that provider as described in "Data Sharing and Third Parties" above. You can request access to, correction of, or deletion of your data at any time by contacting support@bloomingsurveys.ai.

Your Rights

You have the right to:

• Request access to your data.
• Request correction of inaccurate or incomplete data.
• Request deletion or restriction of processing of your data.

Third-Party Personal Data

We ask that users avoid including personal information about third parties in submissions. We have no control over this practice but strive to discourage it.

Children's Data

Our service is not designed for users under 18, and we do not knowingly collect children's data.
